What counts as a qualified appointment?
Write it down before the first call. A common starting point is a version of BANT or a similar framework, adapted to your sale:
- Fit: the company matches your ideal customer profile (industry, size, region)
- Role: the person is a decision-maker or a direct influencer
- Need: they confirmed a problem your product solves
- Timing: there is a realistic time frame for a decision
- Agreement: they accepted a specific meeting time and know what it is about
Appointment setter or SDR?
| Appointment setter | SDR | |
|---|---|---|
| Focus | Booking qualified meetings | Broader prospecting and early opportunity development |
| Typical tasks | Calling lists, qualifying, scheduling, confirming | Account research, multi-channel sequences, discovery calls |
| Hand-off | Meeting in the account executive's calendar | Qualified opportunity with notes |
What do appointment setters need from you?
- A clear ideal customer profile and target list, or the criteria to build one
- A short call guide: opening, value statement, qualifying questions, common objections
- Access to calendars with booking rules: meeting length, buffers, who takes which region
- CRM access with required fields and disposition codes
- Regular feedback from account executives on meeting quality

How do you reduce no-shows?
- Send a calendar invitation immediately, with a clear agenda in the description
- Confirm by email and, for important meetings, a short call or message the day before
- Book meetings within a few days rather than weeks away
- Make it easy to reschedule instead of silently not attending
Which metrics matter?
- Dials and conversations: activity that feeds the funnel
- Meetings booked per week
- Show rate: share of booked meetings that actually happen
- Qualified rate: share accepted by the account executive as a real opportunity
- CRM accuracy: complete notes, correct stages and dispositions
Review meetings booked and qualified rate together. Volume without quality wastes your sales team's time.
What rules apply to cold outreach?
Rules depend on the prospect's country. B2B cold calling and email are treated differently in the US, UK and EU, and some countries, Germany among them, are strict about unsolicited calls and emails even between businesses. Agree with your legal team which channels may be used for each market, how opt-outs are recorded and who owns the contact data.
