Which functions do companies outsource most often?
| Function | Typical first tasks |
|---|---|
| Customer support | Order and account questions, how-to requests, first-line troubleshooting |
| Call center | Inbound service lines, outbound follow-up, appointment confirmations |
| Back office | Data entry, order processing, CRM hygiene, document handling |
| Sales support | Lead research, qualification, meeting booking |
| IT help desk | Password resets, access requests, device and software issues |
| Software development | Feature work, maintenance, QA testing for an existing product |
How do you decide what to outsource first?
- List the tasks that take your team's time but not its unique judgement
- Mark which ones are documented, or could be documented in a few days
- Estimate monthly volume and how you would measure good work
- Start with one well-defined process, prove it, then add the next
What does working with OLYMP BPO look like?
After a discovery call, OLYMP BPO proposes an operating model: team size, roles, hours, languages and commercial terms. Candidates are recruited against an agreed profile, and you can interview the shortlist. Training follows your documentation, then the team goes live on part of the work and expands as quality is confirmed.
Teams work inside your tools, whether a helpdesk, CRM, e-commerce platform, ticketing system or chat, and report against KPIs you set. OLYMP BPO handles employment, payroll, benefits, equipment and day-to-day management.

How is client data protected?
Access follows the least-privilege principle: each person gets only the systems and data their role needs. Controls can include role-based permissions, endpoint security, device controls, monitoring, network security and documented access procedures. Sensitive accounts can run from controlled office environments with restricted device use.
Kosovo's data protection law (Law No. 06/L-082) is closely modelled on the EU's GDPR. Kosovo does not have an EU adequacy decision, so transfers of personal data from the EU or UK are covered with contractual safeguards such as Standard Contractual Clauses.
How long does it take to start?
Once the hiring profile is agreed, a team of 5 typically takes about 5–7 business days to staff and a team of 10 about 7–14 business days, followed by training. Specialist roles and less common languages can take longer.
What makes outsourcing fail, and how do you avoid it?
- Unclear scope: write down what is in and out before go-live
- No owner on the client side: name one person who answers questions quickly
- Thin documentation: invest a few days in procedures and examples
- Measuring only cost: track quality and customer outcomes from week one
- Treating the team as external: include it in updates, meetings and goals
