How we set up a Dutch-speaking team

Each step ends with something you can check.

Channels, volumes, hours, Dutch or Belgian customers and what agents may decide alone. You get a written scope and a quote.

  2. Recruit and assess

    Weeks 1–3

Candidates complete structured interviews, language and technical assessments. You can interview the shortlist.

  3. Agree the style

    Weeks 2–3

Je or u, greetings, sign-offs and product terms, with notes for Flemish customers where needed.

  4. Train on your product

    Before go-live

Walkthroughs, test accounts and your knowledge base, then supervised replies until quality is stable.

  5. Go live and review

    From go-live

Weekly review of real Dutch conversations against an agreed scorecard.

Getting Dutch-language support right

Dutch is one language with two clearly different customer audiences. These are the decisions that matter.

Tone: direct, but not curt

Dutch customer service writing tends to be short and to the point, and many brands address customers with je. Flemish customers often expect a slightly more formal tone and u. Decide the default per market, write two or three model replies for each, and keep them in the style guide.

Belgium is a bilingual market

  • Flanders writes Dutch, Wallonia writes French, and Brussels is officially bilingual.
  • National Belgian accounts usually need Dutch and French in the same queue, and sometimes German.
  • Flemish vocabulary differs from Netherlands Dutch in places, so the word list should cover both.

Data protection

EU GDPR applies to customers in the Netherlands and Belgium. Kosovo has no EU adequacy decision, so transfers rely on standard contractual clauses and a transfer assessment. This is general information, not legal advice; our page on GDPR and outsourcing to Kosovo explains more.

Dutch customer support outsourcing: common questions

How much does Dutch-language customer support cost?

Dutch-language support is priced by custom quote, depending on channels, hours, volume and technical depth. Our published starting rate of €10 per agent-hour applies to English-speaking support.

Should agents use je or u?

It depends on your brand and market. Many Dutch brands use je; u is more formal and more common in Flanders. We write your choice into the style guide and check it in quality reviews.

Can one team serve the Netherlands and Belgium?

Yes. Dutch spelling is shared, and the style guide covers Flemish vocabulary and tone. For Belgian customers who write in French, a bilingual Dutch and French queue is common.

Can we interview the agents?

Yes. Clients can take part in the selection process and interview shortlisted candidates.

How is personal data from the Netherlands protected?

Kosovo's data protection law is closely modelled on the GDPR, but there is no EU adequacy decision for Kosovo, so transfers rely on standard contractual clauses and a transfer assessment. Agents work in your systems, under access rights you control.
